Privacy notice
California Smog Check Network · Last updated September 2026
Crew Log supports shop staff and customer requests. Staff use it to track the day's work, reconcile the register, prepare for appointments, and record technician activity. Customers can use the check-in page to send a request and view its short-lived status.
What we collect
- Shop sign-in. A per-shop PIN or an approved work account used to sign staff in. Staff names may be used to attribute work and requests.
- Daily work log. The number of cars/inspections and reviews the crew records for the day, and any note the crew adds.
- Daily report. End-of-day register figures (cash, card, cash box, paid out), an optional note, and an optional photo of the paper report or receipts that the crew chooses to attach.
- Appointments. Booking details synced from the shop's own booking system (customer first name, phone, vehicle, and appointment time) so the crew can prepare for the day. This information originates from the customer's booking with the shop.
- Customer requests and check-ins. The contact information, first name, vehicle, preferred timing, question, and optional plate information a customer submits. Plate information used for the right-car check is stored as a one-way identifier and last four characters, not as the full plate.
- Browser status data. The customer page keeps a short-lived request token and form draft in that browser so the customer can retry a form or check the request's status.
- Optional staff submissions. Supply requests, reimbursement details and receipts, credential or calibration records, and vehicle or paperwork photos that staff choose to submit.
How we use it
- To run day-to-day shop operations: tracking work done, reconciling the register, and preparing for scheduled appointments.
- To calculate technician activity and commission bonuses in addition to wages. These records do not replace wage records.
We do not sell this information or use it for advertising. Authorized shop and network operations staff can access the records needed for their work. Service providers process data for hosting and delivery.
How it's stored
Data is stored in private, access-controlled storage operated for the California Smog Check Network by our hosting provider (Vercel). Staff access requires an authorized session. Wall displays receive a reduced view that omits phone numbers, email addresses, full messages, and internal record identifiers.
Data retention
Retention periods are under review. The customer status token in the browser expires after eight hours; an unsent form draft expires after twenty-four hours. Server records may remain longer for shop operations. You may request deletion of a specific record at the address below.
Permissions the app may request
- Camera / photos · when a staff member chooses to scan a vehicle or paperwork, or attach a report, receipt, credential, calibration, or vehicle photo.
- Contacts · when a customer or staff member chooses to fill a phone field from the device's contact picker.
- Notifications · when a staff member chooses to receive shop alerts.
Children
Crew Log is for shop operations and customer service requests. It is not directed to children.
